The $10k-a-month hire he never made

A founder was about to hire a $10,000-a-month operator to stay on top of the business. We built an AI advisor that does that job instead.

The situation

The founder was drowning in reports. Every part of the business produced numbers, and staying on top of them was becoming his whole job.

His question to us was simple: “If I hired a really good operator for $10k a month, what would that person do all day?” Read everything. Know the context. Answer instantly. Flag what matters before being asked.

So that became the spec.

The week, before

  1. Reports pile up from every team and every tool.
  2. The founder reads what he can and skims the rest.
  3. Questions mean pinging someone and waiting a day.
  4. Problems surface when they are already expensive.

What we deployed

We built an agent with the full picture: every report, every dashboard, every number the business produces, kept current and connected to context about how the business actually works.

The founder talks to it like a person. “What should I fix this week?” “Why is margin down?” “What did we say about this supplier last quarter?” It answers with the records behind the answer.

And it does not wait to be asked. It watches the numbers and opens the conversation itself when something deserves his attention.

Every report, connected → Context + rules → Chat with the founder → Proactive briefs

How it runs

Everything the business produces flows into the agent’s context: finance reports, ops dashboards, team updates, supplier threads. It holds the current state of the company the way a chief of staff would, except it never falls behind on reading.

The founder’s day starts with a brief he did not request: the three things that changed, why they matter, and what he might do about each. Not a dashboard with forty tiles. Three things, ranked.

During the day it works like a conversation. He asks in plain words, it answers with evidence. When a question needs a new capability, we extend its harness: new source connected, new rule added, new task it can carry.

It drafts, too: the follow-up email to the supplier, the summary for the team, the numbers for the bank. He edits and sends. Nothing leaves without him.

The $10k operator was never hired. The agent costs a fraction, reads everything, and never has a bad week. The founder got his evenings back, which was the actual point.

What changed

  • 3 things - a ranked morning brief instead of forty dashboard tiles
  • Instant - answers with the records behind them, any hour
  • Fraction - of the cost of the hire he was about to make

Where people stay in charge

  • Every outbound word is edited and sent by the founder.
  • The agent recommends. The founder decides. Always in that order.
